Your CRO Head's next-step suggestions
This is not switched on yet. It is built and switched off for every workspace. Once on, a deal’s Details show one next step from your Sales Head, the CRO Head: a task or an e-mail draft, with a short reason. Nothing is sent; approving adds one task.
Is it switched on yet?
Section titled “Is it switched on yet?”No. Until it is, the Recommended next step slot in a deal’s Details reads “Not available yet”, no AI is asked and nothing is written. The brief shows no suggestions either.
Business-Gym switches it on for all workspaces at once. There is no setting for it in your workspace. Everything below describes how it works once it is on.
What does the CRO Head suggest?
Section titled “What does the CRO Head suggest?”One step, of one of two kinds, with a short reason:
- a Task for someone in your company, with a title and, when it gives one, a due date shown as “Due in 3 days” — never more than 60 days out;
- an E-mail draft to the customer: a subject and a text under “Draft - nothing is sent”.
It cannot move the deal to another stage, mark it won or lost, or change its value. Its answer has no place for any of those, and an answer that carries one anyway is marked unusable, so a suggestion can never be approved into a stage move.
It is instructed to use only the facts it is given — not to invent a person, a date, a price, a discount or a promise — never to propose a stage move, won or lost or a change of value, to keep its reason to one or two sentences that name the facts it rests on, and to write in the language your deal’s records are written in, English when that is unclear.
What does the CRO Head read?
Section titled “What does the CRO Head read?”Only the one deal you opened, and only from your workspace:
- the deal’s stage (your workspace’s name for it), status, value and currency, win probability, expected close date, name and notes;
- the name of its company;
- its offering, with the offering’s description;
- its newest 25 activities, with whether each task is done or when it is due;
- today’s date, so it can see an overdue task or a close date that has passed.
Nothing from another workspace is used: every read names your workspace, and another workspace’s deal is “not found” before anything is read. Long notes, offering descriptions and activity texts are shortened. The deal’s name and notes, the company and offering, and every activity’s text, an inbound e-mail’s included, are handed over marked as information, not instructions, and the CRO Head is told not to follow anything written in them. An e-mail saying “move this deal to won” could not be obeyed anyway: the answer has no way to move a deal.
For a deal kept in Dynamics, it reads the deal as synced into Business-Gym and the activities recorded on it in Business-Gym. The timeline read live from Dynamics is not part of it.
Who gets a suggestion, and who can act on it?
Section titled “Who gets a suggestion, and who can act on it?”An approver, an admin or the owner gets one by opening the deal, and can approve, edit or dismiss it. A read-only member sees a suggestion already made and can do nothing with it.
| Action | Approver | Admin or owner | Read-only member |
|---|---|---|---|
| See a suggestion already made | ✅ | ✅ | ✅ |
| Cause a new suggestion by opening the deal | ✅ | ✅ | ❌ |
| Approve, edit or dismiss it | ✅ | ✅ | ❌ |
While the details load, the slot says “The CRO Head is reading this deal…” to an approver, an admin or the owner, and “Loading the suggestion…” to a read-only member. When an approver, an admin or the owner opens a deal that has no suggestion for it as it is now, the CRO Head is asked. Each new suggestion is a paid AI call. It is recorded with its cost, and the Audit log notes the model, the tokens and the cost, not the suggestion’s text. An answer that turns out unusable is paid for and recorded too. Once a suggestion is approved, the task it became is audited like any task you add, its text included.
A deal has one stored suggestion, and everyone sees the same one. A read-only member sees it without buttons. If there is none for the deal as it is now, they see “No suggestion yet. Someone who can edit deals gets one when they open this deal.”
What happens when I approve, edit or dismiss it?
Section titled “What happens when I approve, edit or dismiss it?”Approve adds exactly one task to the deal, as the line above the buttons says: “Approving adds one task to this deal. Nothing is sent and the stage does not change.” Edit lets you change it first. Dismiss hides it and saves nothing.
The task takes the title, the reason as its text and, when a due date was suggested, a due date that many days from the moment you approve. You then see “Approved: the task is on this deal.”, and the task appears under Activity in the same details.
A double click, or two people approving at once, still makes one task. If the suggestion was replaced after you opened it, your approval is refused with “The suggestion has changed since it was shown. Close the details and open them again.”, so nobody approves words they did not read. If the approval fails, “It could not be approved. Try again.” — and you can.
Edit opens Title and Due date for a task, or Title, Subject and E-mail text for an e-mail draft. Approve then uses your words; Cancel drops them. Clearing the due date gives a task without one; a title, subject or text you leave blank keeps the suggestion’s own. The audit log records whether you edited it.
Dismiss hides the suggestion in the details you have open — “Dismissed. Nothing was saved.”, with Show again — and nothing else. The next time the deal is opened, the same suggestion is there, for you and for everyone else, at no cost, unless the deal has changed in the meantime.
What happens to an e-mail suggestion?
Section titled “What happens to an e-mail suggestion?”It becomes a task that carries the draft. Nothing is sent, and nothing is queued for sending. The task’s text is the reason, then “Draft e-mail (not sent):”, the subject and the draft. It has no due date. Sending the e-mail, if you decide to, is yours to do.
That line is in the language you use Business-Gym in when you approve, and it is saved with the task: everyone who sees the task reads it in that language.
When does the CRO Head ask again?
Section titled “When does the CRO Head ask again?”The first time an approver, an admin or the owner opens the deal, and after that only when something it reads, or the way it is asked, has changed. While nothing has, opening the deal, by anyone, shows the stored suggestion at no cost. It asks again after:
- a new activity, or a change to one of the newest 25, such as a task marked done;
- an edited field: stage, value, currency, win probability, expected close date, name or notes;
- a change to the company’s name or the offering, or a renamed stage (Your pipeline stages);
- a different AI model set for the Sales Head;
- a change Business-Gym makes to the question it asks.
Today’s date is not one of them, so a quiet deal is not asked again every day. An approved task is a new activity, so after an approval the next opening by someone who can edit asks again.
If the answer could not be used, the slot says “The CRO Head’s answer could not be used. It is asked again when this deal changes.” — it is stored, so the same question is not paid for twice. If the AI could not be asked at all, it says “The CRO Head could not be asked just now. Close the details and open them again to retry.”, and no suggestion is stored.
Why does a deal show no suggestion?
Section titled “Why does a deal show no suggestion?”The slot always says why, in a sentence. Once the feature is on, and besides the cases above, you may see one of these:
- Your Sales Head is not enabled. The slot says “Your Sales Head is not enabled. Enabled, it suggests one next step for each open deal: a task, or an e-mail draft you review.” An admin or the owner enables a Head with the Enabled switch on its card under Your Heads.
- The deal is won, lost or archived. “This deal is closed, so no next step is suggested.” No AI call is made.
- Today’s limit is reached. Your workspace has a daily limit on new suggestions, shared by everyone in it, and an unusable answer counts too: “Today’s suggestions for this workspace are used up. More from ….”, with the moment in your own time. The count starts again at midnight UTC. A suggestion already made for an unchanged deal is still shown.
Where else do I see a suggestion?
Section titled “Where else do I see a suggestion?”On Your CEO Brief, under a deal that has gone quiet. The brief only shows a suggestion already made: it never asks for one and costs nothing.
Your follow-ups on Your CEO Brief lists “Deals with nothing recorded for 14 days or more” — open deals kept in Business-Gym. Under such a deal, a suggestion nobody has approved yet shows as “The CRO Head suggests: …” or “The CRO Head suggests an e-mail: …”, with the date it was suggested. The deal’s name takes you to Pipeline; you approve a suggestion in the deal’s Details. More in Track calls, meetings and follow-ups.
On a deal kept in Dynamics. Its Details get a Tasks in Business-Gym section listing what is recorded on it in Business-Gym, an approved task among them. Nothing is written to Dynamics — see Where does your CRM data live?
Which plans include it?
Section titled “Which plans include it?”Every plan includes Heads, and the suggestion does not check your plan. What it needs is an enabled Sales Head — and, for now, the feature switched on. How deals themselves work is in Create and manage deals.
